Privacy Policy
Effective September 18, 2026
Sign and Deliver Interpreting LLC (“Sign and Deliver,” “we,” or “us”) provides American Sign Language interpreting services in San Diego County and video remote interpreting throughout California. This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have.
The short version. We collect only what we need to staff assignments, pay our interpreters, bill our clients, and meet our obligations under the contracts we hold. We do not sell personal information, and we do not share it for advertising. Everything that happens inside an interpreted assignment is confidential.
Who this policy covers
This policy applies to visitors to signanddeliverinterpreting.com, interpreters and staff who use our Interpreter Portal at portal.signanddeliverinterpreting.com, and the clients who request our services. It also explains how we handle information about the Deaf and hard-of-hearing consumers we serve, which we generally receive from the client requesting the assignment.
Information we collect
Website visitors
- Information you submit through a contact or service-request form: your name, email address, phone number, organization, and whatever you choose to tell us about the assignment.
- Standard technical information logged by our hosting provider, such as IP address and browser type, used to keep the site running and secure.
Interpreters and staff
- Contact details: name, email address, phone number, and service area.
- Professional credentials: certifications, certifying-body membership numbers, expiration dates, specialties, and clearance or approval records required by particular clients.
- Onboarding and payment information: signed agreements, tax forms, taxpayer identification, and bank account details used to pay you by direct deposit.
- Work records: assignments offered, accepted, and completed; hours worked; close-out notes; and invoices.
Clients and assignments
- Contact and billing details for the requesting organization, the contract or purchase order the work bills under, and the person who approves invoices.
- Assignment details needed to send the right interpreter to the right place: date, time, location, format, subject matter, on-site contact, and the number and role of Deaf participants.
- Where a client provides it, the names and language preferences of Deaf consumers, so the assigned interpreter can prepare properly and, for video assignments, can identify the participant on screen.
How we use information
- To staff, schedule, confirm, and prepare for interpreting assignments.
- To pay interpreters and to meet payroll and tax-reporting obligations.
- To invoice clients and keep accurate business and accounting records.
- To verify credentials and to satisfy requirements written into our client contracts, which can include submitting an interpreter’s name and certification to a government agency for approval before that interpreter may work.
- To communicate about assignments, schedule changes, and account matters.
We do not use personal information for behavioral advertising, and we do not build advertising profiles.
Confidentiality of assignments
What is said and signed in an interpreted setting stays there. Our interpreters are bound by the professional code of conduct of the Registry of Interpreters for the Deaf, by the confidentiality agreement each signs with us, and by any additional confidentiality terms our client requires. Depending on the assignment, those additional terms may include:
- State confidentiality obligations covering information belonging to a public commission or agency.
- Protections for student education records when we interpret in a school setting.
- Protections for health information when we interpret in a medical or behavioral-health setting.
We keep the names of Deaf consumers out of our scheduling system. When an interpreter needs that information to do the job, it is sent to that interpreter directly.
Who we share information with
We share personal information only where it is necessary:
- With the assigned interpreter — the assignment details they need to arrive prepared.
- With the requesting client — the interpreter’s name and credentials, where the client or its contract requires it.
- With government agencies — where a contract requires an interpreter to be approved or cleared before working.
- With service providers who operate our systems on our behalf, under agreements that limit them to that purpose: website and application hosting, database hosting, transactional email delivery, electronic signature, business email, and accounting and payroll software.
- Where the law requires it — for example, in response to a lawful request, or to comply with tax and employment reporting.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising.
How we protect information
Information is transmitted over encrypted connections and stored with access controls. Our Interpreter Portal limits each person to what their role requires: an interpreter sees their own profile, their own assignments, and their own invoices, and cannot see other interpreters’ pay, client billing rates, or company financial information. Access to payment and tax records is restricted to those who need it to run the business.
No system is perfect, and we do not claim otherwise. If a breach affects your personal information, we will notify you as required by law.
How long we keep information
We keep business, tax, and payment records for as long as the law requires, which for most financial records is several years after the tax year they relate to. Assignment records are kept for the life of the client relationship and any applicable contract or audit period. Contact-form messages are kept only as long as needed to respond and to maintain a record of the request.
Your choices and rights
You may ask us to:
- Tell you what personal information we hold about you and where it came from.
- Provide you a copy of it.
- Correct information that is inaccurate.
- Delete information, where we are not required to keep it for legal, tax, contractual, or recordkeeping reasons.
To make a request, email Jon@signanddeliverinterpreting.com. We will verify your identity before acting, and we will not treat you differently for exercising these rights. Interpreters can view and update much of their own information directly in the Interpreter Portal.
If we received your information from a client — for example, a school district or a public agency that arranged an interpreted meeting — that organization generally controls that record, and we will direct your request to them.
Children
Our website and portal are intended for adults and are not directed to children. We do interpret in K–12 settings. Information about students in those settings comes from the school or district, is handled on the school’s behalf under our agreement with them, and is not used for any other purpose. Requests about a student record should be made to the school or district.
Changes to this policy
If we change this policy we will update the effective date above and post the revised version on this page.
